Cybersecurity Awareness Basics: Spotting Scams Before They Cost You

Most workplace scams don't succeed because staff are careless — they succeed because the message is designed to feel urgent and familiar. Here's what to actually train your team to notice.

Urgency is the tell, not the content

Scam messages vary — fake invoices, "urgent" boss requests, courier notifications, bank alerts — but almost all of them share one feature: they push you to act fast, before you have time to verify. Training staff to notice the feeling of urgency itself, rather than trying to memorise every possible scam format, is a far more durable defence.

Verify through a separate channel

If an email or message asks for payment, banking details, or a change to a regular process, the safest habit is a quick check through a different channel — a phone call to a known number, not a reply to the message itself, and not the phone number listed in the suspicious message. This single habit stops the majority of business email compromise and invoice-fraud attempts.

Watch for small mismatches, not obvious fakes

Modern scam attempts are well-written and often use real company names and logos. The giveaways are usually small: a slightly altered email domain, a request that skips your normal approval process, or a "colleague" who suddenly can't take a call to confirm. Training that uses realistic scenarios — rather than obviously fake examples — builds the pattern-recognition that actually holds up.

Make reporting easy and blame-free

The businesses that catch scams early are usually the ones where staff feel comfortable flagging something suspicious, even if it turns out to be nothing. If reporting a false alarm feels embarrassing, people quietly stop reporting — and the one real attempt slips through. A simple, known "who do I tell" step matters as much as the awareness training itself.
